Getting Started

Step 1: Schedule the Photography Date

We will coordinate with department leadership to select dates for the photo session. We aim for minimal disruption to daily operations so usually schedule 1-3 days according to department shifts. It's helpful to select a day that accommodates everyone's schedules as much as possible to ensure you capture everyone.

Step 2: Photograph Department Members

On the scheduled dates, we’ll photograph the department members in a variety of poses. This may include their official headshot, team photos, and candid shots that capture the dynamics of the department. We’ll ensure we’ll capture a mix of photos as needed to show both personality and collaboration.

Step 3: Gather Content for the Book

In addition to the photographs, we’ll ask that you collect any relevant materials, such as quotes, department history, mission statements, and key achievements. This content will complement the visuals and tell a fuller story of the department's work and impact. It's also a good idea to ask department members for any personal anecdotes or moments they'd like to be included. Don’t worry, we’ll help you with categories for your book and how to organize the content for a smooth process.

Step 4: Design and Layout the Book

Once the photos and content are collected, we will work on the design and layout of the book. This involves selecting the right formats, creating a cohesive visual theme, and placing the content in a logical, engaging flow. Depending on the scope of the project, this step may involve working with a graphic designer to ensure the final product is polished and professional.

Step 5: Proof the Book

After the initial design is completed, we’ll submit a digital proof to review the layout for any errors, inconsistencies, or design tweaks. Share the proof with department leadership for their feedback and approval. Then we’ll make necessary revisions before sending the final version to print. We’ll proof and revise as many times as we need til it’s just how you want it.

Turnaround Time: 4-6 Months

Creating a photo book for a department is a thoughtful process that requires careful planning and attention to detail. From the initial photo shoot to final proofing, the process typically takes about six months. This allows time for scheduling, gathering content, designing, reviewing, and making revisions. Each phase is important to ensure the final product accurately represents the department's work, values, and personality. While the timeline is flexible, it's generally recommended to allow six months to ensure quality and thoroughness in every step. Once the final proof is signed off one, the printing and delivery time is typically 30 days.
